Basic Functions

Q. What types of files can be output?

Excel (.xlsx, .xlsm), Word (.docx, .docx), PowerPoint (.pptx, .pptm), and PDF (.pdf) files can be output.

Q. What types of files can be used as templates?

Excel (.xlsx, .xlsm), Word (.docx, .docm), and PowerPoint (.pptx, .pptm) files can be used as templates. If the output file is a PDF, create a template file in Word (.docx).

Q. How many levels of related records can be output?

Office File Creator Pro can output up to 5 layers of child objects.
Office File Creator Standard/Free/Ver1 can output up to 2 levels.

Q. Is it possible to attach a file to a record and save it in Salesforce?

Yes. When creating a custom button, set the URL to file output or attach to record and save.

Yes. The feature is available in Office File Creator Pro.

Q. Can the application output multiple files at once?

Yes. Output from the list view is possible. It is possible to output from the list view using Visualforce page or using flow.

Q. Is it possible to update a record when outputting a file?

No. However, it is possible by using the flow. Office File Creator can be used with Screen Flow.

Q. Is there a function to save logs of file outputs?

Yes. The feature is available in Office File Creator Pro.

Q. Can the app be used both in the Screen Flow and the Record-Triggered Flow?

Office File Creator can be used in the Screen Flow, but not in the Record-Triggered Flow.

 

License (paid and free versions) and usage restrictions

Q. What is the difference between the paid version and the free version?

The difference between the paid version and the free version is that the free version is limited to one template type, etc. Please refer to the Price for details of features.

Q. Is the free version available for inquiry support?

No. Support is not available for the free version. You can use the free version only if you agree that you will not be able to use any support, including inquiry support.

Q. Is there a limit to the number of users and the number of file outputs?

No, there is no limit to the number of users or file outputs for both the paid and free versions.

Q. We are considering installing the paid version. We would like to extend the trial period because we have a large number of templates and it takes time to decide whether or not to purchase the paid version.

You can use the paid version indefinitely in the Sandbox environment. Please install the paid version in the Sandbox environment first and try various template outputs.

Q. If I use the free version and then install the paid version, will the OFC_Template records and settings be transferred from the free version to the paid version?

Ver.2 will be inherited, but Ver.1 will not. Ver.1 free version and Ver.1 paid version are different applications, so data and settings of the free version will not be inherited from the paid version. Ver.1 and Ver.2 are different applications and will not be transferred.

Q. How can I check the expiration date of the trial of the paid version?

The expiration date of the paid version of the production organization can be found at Setup>Apps>Packages>Installed Packaging>Office File Creator. The paid version of the Sandbox environment is available indefinitely.

Q. After the trial of the paid version, the trial expired. If I purchase a license for the paid version, can I use the data and settings of the OFC_Template record created in the trial?

Yes. When the license expires, access to OFC features such as the OFC_Template tab will be disabled, but your data and settings will remain unless you uninstall the software. Once the license is purchased and activated, access to the data and settings created in the trial will be available.

Q. What is the price of the paid version?

See Pricing. Paid version is per Salesforce organization and paid annually. There is no limit to the number of users or file outputs. There is no separate initial installation fee.

Q. Are there any initial installation or support costs?

No, there is not.

Q. Do you accept payments other than credit cards, such as bank transfers?

No, payment is by credit card only.

 

Change Contract Information/Cancel Subscription

Q. How do I change my email address or billing information?

Q. Can I upgrade my license from Standard to Pro or downgrade from Pro to Standard?

Yes.
Upgrade from Office File Creator Standard to Pro
Upon request, your subscription will be upgraded immediately. The initial billing amount for Pro will be calculated by deducting the remaining valid days of Standard on a pro-rata basis.

Downgrade from Pro to Standard
Your subscription will be downgraded on the next renewal date. The Pro license is valid until the current expiration date. Pro is not refundable on a pro-rated basis for the remaining valid days.

Q. How do I cancel my subscription?

Refer to Subscription Management.
After the cancellation procedure, the license remains valid until the current expiration date. Please note that pro-rated refunds for the remaining days are not available.

 

About Support

Q. How is support provided? How can I contact you if I have any questions?

Support is provided by e-mail. Please contact us from the Contact page. Please understand that we do not provide support in individual meetings via online or other. Support is provided to subscribers. Standard Salesforce features are not supported.

Q. How does support differ between the paid and free versions?

Inquiry support is available for subscribers of the paid version. Support is not available for the free version. You can use the free version only if you agree that you will not be able to use any support, including inquiry support.

Q. I am trying out the paid or free version. Can I get support?

No. Support is limited to contracted customers only. Customers who are not under the contract are not eligible for support, regardless of the trial of paid version with purchase. We appreciate your understanding.

If you have any questions, please check within the scope of this product page, FAQs, and configuration manual. Standard knowledge of Salesforce is all that is required to set up the system. Standard Salesforce features are not supported regardless of the subscriber.

Q. How does support differ between paid and free users?

Support is provided to subscribers. Free version users and non-contracted customers are not eligible for support.

Q. I am trying out the paid or free version. Can I get support?

Support is not available to non-contracted customers, regardless of whether they are trying out the paid/free version. Support is limited to contracted customers only. Office File Creator is used by many users because we offer a free version for an unlimited period of time. We provide our products free of charge and do not offer free human resource support. Since many customers purchase the paid version after trying the free version, we do not provide support to customers who are not under contract, regardless of whether they are trying the paid version on the premise of purchasing it. We appreciate your understanding.

If you have any questions, please check within the scope of this product page, FAQs, and configuration manual. Standard knowledge of Salesforce is all that is required to set up the system. Standard Salesforce features are not supported regardless of the subscriber.

Q. After purchasing the paid version, is it possible to get individual online support or lectures about the setup?

Support is provided by e-mail. Please understand that we do not provide support in individual meetings via online or other. The product is simple and easy to set up with standard knowledge of Salesforce. Please check the setup manual and contact us if you have any questions.

 

Operating Environment

Q. Does the application support Salesforce classic?

Yes, Office File Creator supports both Lightning Experience and Salesforce Classic.

Q. Which Editions of Salesforce does the app support?

Available for Essentials, Professional, Enterprise, Unlimited, and Developer. For use in other editions, please install the software in the organization of the edition and confirm. Custom objects included in apps installed from Appexchange do not count toward an organization’s custom object count limit.

Q. Does the app support Experience Cloud (formerly known as Community Cloud)?

Only Ver. 1 of the paid version and the free version are supported; Ver. 2 and later versions are not supported. For use with Experience Cloud, place the Lightning component button, not a custom button.

Q. Does the application support mobile devices?

In principle, Office File Creator does not support mobile. It may be possible to output files or save files to Salesforce on mobile devices, but we cannot guarantee that it will work.

Q. When a new version of Office File Creator is released, will the upgrade be automatic for Salesforce organizations that already have it installed?

Yes. As a rule, automatic updates are performed approximately one week before or after the release date of a new version. Your organization will always have the latest version of Office File Creator.

Q. Is there a connection outside of Salesforce? Will data and files within Salesforce be stored on servers outside of Salesforce?

No, there is no connection outside of Salesforce. No data or files are stored outside of Salesforce.
Office File Creator does not use any third-party products that involve external connections, and everything is handled solely within Salesforce.
No emails are sent outside of Salesforce, including in the event of an error.

 

Install/Permissions

Q. When selecting an installation location on the install screen, "We didn't find any Salesforce accounts linked to your Trailblazer.me profile. To create an account, sign up for a free trial of Salesforce." is displayed. My Salesforce account is already connected to Trailblazer.

This may be a connection issue between your Salesforce account and Trailblazer. Contact Salesforce Help.

Q. I installed the app as a system administrator. If someone other than the system administrator uses the software, what permission settings are required?

Application, tab, custom object, field-level security, Apex class, and Visualforce page permissions are required.

Template File and Merge field

Q. Is it possible to set a merge field to the output file name?

Yes. Set the "Output File Name" field in the OFC_Template record. The merge field can be set in the "Output File Name" field.
Example of "Output File Name":Invoice_{!Opportunity.Name}

Q. When outputting to Excel, is it possible to set merge fields on multiple sheets?

Yes, all sheets will be output. The merge fields can be set on multiple sheets.

Q. Can I use merge fields in the header and footer of Excel and Word?

Yes, you can. However, only master object fields can be used in the header and footer, not child object fields.

Q. When outputting PDF files, is it possible to use an Excel template file instead of a Word file?

No, Excel cannot be used as a template file for PDF output. OFC does not support Excel because its structure is more complex than Word, making it more difficult and time-consuming to implement.

Q. Is it possible to output multiple primary object records in one template file?

No, there are no plans to support this function in the future.

Q. Is it possible to use formulas for merge fields? (e.g., {!If(Case.IsDelivery__c=True, Case.Address__c, "-")})

No. Formulas cannot be used for merge fields.

Q. Is it possible to change the format of merge fields for output? (e.g., output 04/01/2023 as 2023.4.1)

Yes, the formatting can be set in ver. 2.0 or later. Formatting is available in ver. 2.0 or later.
Word, PowerPoint, PDF
The data type of the field is date or date/time can be set the formatting. The formatting is set by separating the field name with a comma.
Example: {! Object Name.Field Name, yyyy.MM.dd}
Excel
Merge fields cannot be formatted. Set from Excel's cell formatting.

Q. When outputting Word, PowerPoint, or PDF files, Office File Creator Ver.1 outputs number field values without formatting. Is it possible to output number fields in 3-digit comma delimited format?

Yes. Check on "Adjust Format (commas/decimal places)" in the OFC_Template record to output numeric fields in 3-digit delimiter comma notation. Formatting of Currency and Number Fields (Ver.1)

Q. Is it possible to use the field in the reference object of a reference field as a merge field?

Yes. Cross-Object Formulas (e.g. {!Opportunity.Account.BillingCity}) that display referenced object fields are available as merge fields. If the user does not have permission to reference the referenced object or field, the blank is output. Up to 5 levels up can be set as merge fields. Cross-Object Formulas are available in ver. 2.0 or later.

Q. Is it possible to use a cross-object formula (e.g., {!Opportunity.Account.BillingCity} for the merge field?

Yes. Cross-Object Formulas (e.g. {!Opportunity.Account.BillingCity}) that display referenced object fields are available as merge fields. If the user does not have permission to reference the referenced object or field, the blank is output. Up to 5 levels up can be set as merge fields. Cross-Object Formulas are available in ver. 2.0 or later.

Q. Is it possible to output rich text area field formatting?

No. Rich text area field values are output with Html tagged values stored in Salesforce. Output cannot be in the format displayed on the records screen.

Q. What value is output for the masked value "ABC***" of the Text (Encrypted) field?

The masked value will be the same as what is displayed to the user on the record detail page.

Q. Salesforce record has a value, but the merge field was output with a blank field.

If the user does not have access rights to the merge field, it will be output as a blank field. Please grant the user permission to refer the field from Field Level Security. If the user does not have permission to refer the field, it will be output as a blank field regardless of whether it has a value or not.

Q. The value of the merge field is output as it is in the output file.

Check the following to ensure that the format of the merge field is correct
Check if the format of the merge field is {!Object API Name.Item API Name}.
Check if the object name and field name are correct.
Check if "!" is not missing.
Check if there are no unnecessary spaces.
*Not all layouts and output patterns are supported. Please note that we may not be able to support your output pattern.

Q. The currency symbol for the currency field is not output.

In Excel, from the cell formatting, set the template file so that the currency is displayed.
In Word and PowerPoint, add the currency to the beginning of the merge fields in the template file.
e.g. ${!Opportunity.Amount}

Q. When outputting to Excel, decimal points are truncated.

Use Excel's cell formatting to set the decimal point to be displayed. When creating the Excel template, enter the sample values, adjust the cell formatting, and then set the merge field.

Q. When outputting to Excel, the long text area fields are output as a single line without line breaks.

From Format Cells in Excel, set "Wrap text". When creating the Excel template, enter the sample values, adjust the cell formatting, and then set the merge field.

Q. When outputting to Excel, formulas in an Excel file are not output.

Excel formula output can be used with template files uploaded with Office File Creator version 1.15.0 or higher. Please check the version of Office File Creator and upload the template file again with version 1.15.0 or higher.

Q. Is it possible to output child records by specifying a condition?

Yes. Filter criteria can be specified according to the field values of the child object.

Q. Is it possible to output child records sorted by any field?

Yes. It is possible to sort by child object fields. Up to three sorting fields can be specified per child object.

Q. How many related objects can be used in one template file?

There is no limit. All objects related to the parent object can be used as the merge field in template file.

Q. Is it possible to output a 3-level hierarchical object with parent, child, and grandchild relationships?

Yes. The feature is available in Office File Creator Pro.

Q. Is it possible to output child records in columns (horizontally) instead of rows (vertically)?

Yes. The feature is available in Office File Creator Pro.

Q. How can I see the child relation names?

1. Go to the Object Manager and check the list of fields of the corresponding child object.
2. Click on the field name of the primary object's reference field in the child object's field list.
3. The content displayed in the child relationship name in the field's setting information is the child relationship name. At this time, if the parent object's reference field is a custom field, the child relationship name will be the one with "__r" appended to the end of the displayed child relationship name. For package objects, prefix with namespace prefix + "__".

PDF Output

Q. When outputting PDF files, is it possible to use an Excel template file instead of a Word file?

No, Excel cannot be used as a template file for PDF output. OFC does not support Excel because its structure is more complex than Word, making it more difficult and time-consuming to implement.

Q. When outputting PDF files, I set tab spacing in a Word template file to align the beginning of characters, but the output does not appear in the correct position.

Word tab spacing are not supported. Create a table with uncolored ruled lines to align the top position.

Q. When outputting PDF files, page breaks are made according to the number of lines in the child records, but when page breaks are made, the ruled lines in the table are output with the bottom line of the previous page or the first line of the next page cut off.

This is a specification. PDF is output by the PDF generation function of Visualforce of Salesforce, and the page break position is automatically judged by the function of Visualforce.
When automatic judgment is made, the ruled line output of the table between page breaks cannot be adjusted on the OFC side.
In Office File Creator Pro, ruled lines are output without being cut by setting.

Q. When outputting PDF files, are shapes and objects output?

Shapes and object output are not supported.

Q. When outputting PDF files, it does not output double-byte characters.

Please make sure that "PDF Includes MultiByte Character" in the template record is set to "Include" and "PDF default font" is set to "Arial Unicode MS". Or, the output characters may be External characters. External characters are not supported.

Q. When outputting PDF files, will it have the same layout as when outputting from a Word template file?

No. Both PDF and Word output use Word template files, but the output process is different.
The PDF output process is more complex than the Word output.
The Word output may have the correct layout, but the PDF output may not have the expected layout.

 

Image Output

Q. Is it possible to include images such as a company logo in the template file?

Yes. However, if large size images such as high-quality photos are included in the template file, it may take a long time to output the file, or an output error may occur. In the case of PDF output, the layout may be corrupted. Please confirm by actually outputting in a test environment.

Q. Is it possible to output images in Salesforce?

Yes. The feature is available in Office File Creator Pro. Output image records of rich text fields, image functions fields, and attachments.

Flow

Q. Are there any limitations on the use of flow?
  • Office File Creator cannot be used in a Record-Triggered Flow.
  • Output from screens containing custom development other than record screens (standard) and list views is not supported.
  • Knowledge of flow creation is required. Inquiry support does not cover standard Salesforce functions such as how to create flows, flow errors, etc.
